WORKING WITH THE PROFS
THE CLIENT JOURNEY
When a client contacts The Profs for help, they will be assigned a Client Liaison Manager (CLM) who will oversee their placement. The CLM will speak with the client and student to best understand their needs and use this information to identify the best tutor from our network. This is done by reviewing the applications on the jobs board as well as considering their previous feedback to help inform their decision. From here, the CLM is able to put forward the tutor who they feel is the best fit for the placement or else let the client decide from a shortlist of tutors. Once the client is happy to move forward, the CLM will introduce you to each other via email.
The CLM will be responsible for this client over the whole period that they are working with The Profs so feel free to direct any of your client-specific questions to them (their contact details will be listed in the job description).
5-HOUR MINIMUM
We ask that all new Profs clients commit to at least five hours of tuition with each tutor. In our experience, this is the minimum time needed for a tutor to have any significant impact on a student’s work. It is also usually the minimum project length to be economically viable, for the tutor and for The Profs.
It is expected, therefore, that every tutor will come to each new placement with a plan to make the best use of that five-hour minimum period, and ready to show the student how they can expect benefit from that time. Ultimately, of course, it’s up to the student how they allot their time, within a six-month period from the start of the project.
Of course, the majority of clients continue well beyond this minimum period: the current average project length is between 15 and 20 hours, and our longest-ever project came in at over 600 hours in total. We’re keen to foster long-term teaching relationships, and tutors should always have half an eye on how they may be able to assist beyond the initial goal or deadline.
In the event that a student does not take the full five-hour minimum, within that six-month period, and after reminders from their tutor, they can be billed for the unused time. Naturally we would all prefer that this time was used for constructive tuition, so do encourage them to make use of the time while they can.
When billing for unused time, log a session as usual, to the value of the time outstanding, and title it clearly, e.g.: ‘Five-Hour Minimum: Unused Hours’.
CAPPED HOURS
Other clients will request to have their hours capped at a certain amount, which will mean that anything past those requested hours cannot be logged on the system. Again, the dedicated CLM will let you know and if the client wants to exceed these hours please contact the CLM, who will be able to lift the cap for you.
FEEDBACK & REVIEWS
Student satisfaction is extremely important to us, and we follow up with all of our students after their first lesson with a new tutor. We always try to pass this feedback on to the tutor, as we know how useful it is, but we can’t always do this in the busier periods. Please ask us if you are keen to know how a particular student has responded! We always urge you to elicit your own feedback from the student and encourage you to pass this on to the dedicated CLM (noted in each job description).

INITIAL CALL
Upon introduction to your client, we suggest that you contact them as soon as possible, and we also strongly recommend a conversation before the first session. We suggest that this is used to discuss their needs and expectations, with most tutors opting to send an introductory email to organise a convenient time to speak. This call goes a long way to building rapport with a new student and ensuring that you are both prepared for your first session.
It’s important to make sure you have all the necessary materials and information before the first meeting. Please don’t forget to review the materials in the “Documents” tab of the placement, which you can find in the bottom right of the page.
OTHER SERVICES
In addition to standard tuition, The Profs offers support for university admissions and applications for both undergraduate and postgraduate candidates. We support students with developing an academic profile, personal statement creation, any required admissions tests and interview preparation.
To date, we have enjoyed a 98% success rate for students receiving an offer to their first or second choice university.
The Profs also offers mentoring services for students who require more hands-on academic support. This includes, but is not limited to, time management, essay structuring, goal planning and academic stress management.
